Part of a reporting system built for a home services company. This piece covers the front desk: every inbound call, counted once, and what became of it.
the challenge
The front desk is where marketing money either turns into booked work or quietly slips away. A call that isn’t booked costs the same as one that is, and without numbers a slow week looks just like a booking problem. Housecall Pro doesn’t share its call log through its API, so none of it was being measured.
the approach
The office uploads the call log export from Housecall Pro, and the scoreboard reads it next to CallRail, matching main-line calls to their tracking source by phone number. Overlapping uploads are never counted twice, and a call reason can name the channel when the source is missing.
From there it shows qualified leads against booked jobs, and the booking rate against a goal and a baseline. Booking rate is also broken out by lead source, since some platforms send far better calls than others. Missed calls, voicemails and calls from existing customers each get their own figure, along with how often the service call fee was kept at booking, and every number opens the records behind it.
